About the Opportunity
An excellent opportunity has become available for an experienced Legal Secretary to join a busy and collaborative Dispute Resolution team. This role provides dedicated support to a small group of senior lawyers while working closely with associates and the wider practice team.
This is a fast-paced position suited to someone who thrives in a professional legal environment, enjoys managing multiple priorities, and takes pride in delivering high-quality administrative and secretarial support.
Key Responsibilities
Your responsibilities will include:
- Managing high-volume monthly billing processes, including preparing, reviewing and distributing client invoices
- Producing financial reports and meeting weekly, monthly and quarterly client reporting requirements
- Preparing, editing and formatting legal correspondence, court documents, presentations and other documentation using version control and track changes
- Managing complex diary schedules, appointments and travel arrangements
- Supporting client and matter intake processes
- Reconciling expenses and processing reimbursements
- Conducting conflict searches
- Entering time, preparing narratives and maintaining billing records
- Screening and managing incoming phone calls, emails and correspondence, responding to routine enquiries where appropriate
- Maintaining electronic and physical filing systems
- Providing general administrative support to the legal team as required
About You
To be successful in this role, you will have:
- Previous experience working as a Legal Secretary or Legal Assistant within a law firm
- Experience managing monthly billing and client invoicing
- Excellent attention to detail and a consistently high level of accuracy
- A typing speed of at least 50 words per minute with a minimum 90% accuracy rate
- Advanced skills in Microsoft Word, Excel, Outlook and PowerPoint
- Strong organisational and time management skills, with the ability to manage competing priorities
- Excellent communication and client service skills
- Experience using document management and expense management systems (such as iManage or Chrome River) is advantageous but not essential
- A Certificate IV in Business Administration (or equivalent) is desirable
- A collaborative approach and the ability to work effectively within a team
