Are you an experienced Legal Assistant ready to step into a fast-paced and rewarding role supporting senior stakeholders in a leading legal practice?
We’re currently seeking a highly organised and proactive Legal Assistant to support 3 Partners, Associates, and wider team members within a dynamic Transactional Practice Group based in Sydney. This is a pivotal role for someone who thrives in a client-focused, detail-driven environment and enjoys the challenge of managing multiple priorities across billing, administration, document preparation, and practice support.


Key Responsibilities:

  • Manage end-to-end monthly billing processes, including drafting invoices, adhering to specific client billing requirements, and compiling financial reports (weekly, monthly, quarterly)

  • Handle inbound calls with professionalism – screening, resolving queries, or relaying messages as required

  • Draft, edit and format a range of legal correspondence, pitch documents and presentations using track changes and version control

  • Support client matter intake processes and ensure accuracy across document workflows

  • Coordinate conflict searches, reconcile expenses, and manage time entry tasks (including glossaries and narrative production)

  • Proactively manage incoming correspondence (email, post, voicemail) in the absence of fee earners

  • Work directly with clients and assist with business development initiatives

  • Book travel, organise couriers, functions, meetings and conferences – including catering, room bookings, and car spaces

  • Support and attend internal client events and practice group functions

  • Provide calendar management for multiple senior stakeholders, ensuring key deadlines and meetings are anticipated and supported

  • Assist in preparing and distributing materials for meetings, court proceedings, or settlements

  • Maintain accurate file management practices across opening, updating, and closing of matters

  • Assist with ad hoc project coordination and team support as required


What You’ll Bring:

  • Previous experience in a legal practice – ideally within a corporate, transactional or commercial practice group

  • Demonstrated experience in monthly billing and financial reporting

  • High level of accuracy and attention to detail

  • Typing speed of 50+ wpm (with at least 90% accuracy)

  • Strong skills across Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)

  • Outstanding client service and interpersonal communication skills

  • Exposure to iManage and Chrome River systems advantageous (but not essential)

  • Certificate IV in Business Administration (or similar) highly regarded

  • A strong team player with the ability to work independently when needed
